As of 03 November, 2025, you can now get your minutes/resolutions e-signed straight from CompanyRegisters. In the following, we will outline the steps required to add recipients, edit templates, and receive updates during the e-signing process.

Editing and creating e-signature templates

Navigate to the My Tasks drop-down bar and select ‘Mins/Resolutions’. You will notice the eSignature Docs option too – we will discuss this shortly:

You’ll notice the eSign column here, this will indicate whether the template has a corresponding eSign template available. When you log into your account, the master minutes are automatically copied over to eSign.

From this screen, you can edit your existing templates in the eSignature editor, or you can Add New Minutes and edit that new template in the eSignature editor. To open the eSignature editor, simply click on the blue spiral eSign icon next to your desired record and you will be re-directed to the eSignatures platform:

The existing template will open in eSignatures and you can edit it exactly as you edit on CompanyRegisters, change text, add merge fields (called Placeholder fields in eSignatures) etc. Make sure to click “Save template” when you are done editing!

Using your eSign templates

Now that you have your templates set up in eSignatures, you can use them across all your entities as you would normally use a master template. For example, to use our Allotment resolution, let’s navigate to a new allotment record and select the Create Task button on the new allotment:

This brings in the tasks we need to complete to finalise the allotment. Now we want to get the resolution eSigned. Click the Form/Document button next to the resolution:

This opens our regular HTML editor, with the eSignature editor in the breadcrumbs along the top. Select the eSignature editor option and click ‘Create eSignature Document’:

This automatically opens the eSignature editor as we saw above, and you will get a pop-up in CompanyRegisters telling you that the document has been create and you should now click “Save for eSignature”. If you wish to edit the template for the resolution, you can do so now in the open editor, or Save for eSignature and edit from the eSignature Document Manager:

After you click ‘Save for eSignature’, you’ll be redirected to the eSignature Document Manager page in CompanyRegisters. This is where all of your eSign documents will live on this particular entity. You can find this page at any time by selecting the ‘eSignature Docs’ menu item:

From here, click the pencil icon next to the desired document, this will take you to the Send page:

On this page, you can;

. Edit the template again by clicking the blue spiral eSign icon,

. Designate the template (referred to as a ‘contract’) as a test by clicking yes or no. This determines if the resolution is sent with a demo watermark or not. If you do not have any credits available and you still select ‘Yes’, the resolution will be sent out with the demo watermark regardless.

. Add your desired recipients by selecting ‘Add Signer’, or ‘Add Active Directors as Signers’.

Let’s add our signer’s by clicking the ‘Add Active Directors as Signers’ button:

This has brought in the active director’s and their contact details. If you need to change those details, you can click the pencil icon to edit:

You can select email or SMS for the signature request. You can also choose whether to include multi factor authentication for the signer. Add your desired changes and click ‘Save’.

Sending and tracking signature requests

Once you are happy with your template and your signer’s details, click ‘Send for Signature’ and you will receive a pop-up that indicates the document has been sent for signature:

On the receiver’s end, they will receive an email or SMS like this:

By clicking the View and Sign button, the receiver can view and sign the document. These actions are synced in real time on CompanyRegisters, so once they open the document it will reflect on CompanyRegisters under the eSignature Docs page:

The icons are:

Sent

Viewed

Signed

You can see each signer’s progress if you click the pencil icon next to the resolution record:

Once all parties have signed, the resolution will be indicated as ‘Stored’:

Once it is Stored, you can navigate to Res/Mins/Docs, select eSign to filter and you will see your document here, where you can View and Print by selecting the magnifying glass icon:

The final stored and signed document will display the template and an audit trail:

And that’s all there is to it!

You can view all eSign documents from all your entities under ‘My Tasks – eSignature Docs’:
